Membership Administrator

Summary of Position

Working closely under the oversight of the Director of Advancement, the Membership Associate is responsible for the promotion, recruitment, growth, retention, and recovery of individual & business members. Also responsible for meeting Annual Fund fundraising goals and managing the donor database.

Membership Responsibilities

  • Pursue membership growth with current, new, renewals, and lapsed individual & business members through an effective recruitment and retention plan developed with the Director of Advancement.
  • With the Director of Advancement, create and implement a standard of practice with touchpoints to stay engaged with members and donors that includes contact via telephone.
  • Lead individual & business membership outreach, cultivation, and stewardship plan, including regular phone calls and visits, digital and USPS mailers, and member-only events and other initiatives as needed.
  • Meet all individual and departmental individual & business membership revenue goals.
  • Execute all administrative tasks related to membership including writing renewal letters, pulling mailing lists, merging letters with contact information, stuffing envelopes, data entry, finance reporting, and analytics.
  • Manage logistics and implementation of key membership events, including Everyone’s a Member Day, Director’s Circle Dinner, and any other member-only events throughout the year. Meet attendance and revenue goals.
  • Manage volunteer recruitment, training, and evaluation as appropriate for member-related events and activities.
  • Develop and nurture relationships with KIA individual & business members.
  • Serve as a key partner and source of administrative support for the Director of Advancement and Executive Director to develop individual & business membership fundraising plans and revenue targets.

Annual Fund Responsibilities

  • Responsible for implementation of the Annual Fund fundraising plan developed with the Director of Advancement.
  • Track Annual Fund income and send acknowledgement letters. Prepare mailings and make phone calls to solicit funds.
  • Meet Annual Fund income targets and report on revenue from Annual Fund activities.

Other Responsibilities

  • Supports the Senior Leadership staff in maintaining institutional standards across the organization while embracing and modeling institutional mission, vision, and values, most notably Art is for Everyone.
  • Actively supports the institutional goals to improve diversity, equity, accessibility, and inclusion at the KIA. Be cognizant of opportunities to improve DEAI outcomes and internal collaborations.

Job Qualifications

  • Bachelor’s degree or equivalent experience
  • Two to three years of database administration experience
  • Strong customer service and sales experience
  • Detail-oriented with excellent organizational skills
  • Ability to multi-task and to coordinate team efforts
  • Strong verbal and written communication skills as well as comfort making and taking phone calls
  • Familiarity with computer software including Microsoft Suite, Google Suite, and a CRM database

Physical Job Requirements

While performing this job, the employee will be required to sit, stand and work, to lift up to 30 lbs occasionally, do close work with a computer monitor and perform repetitive movements. Employee must be able to communicate verbally.
